Facility Sales Account Coordinator - Full-Time

SUMMARY

Under the supervision of the Senior Facilities Sales Manager, works with the department to ensure growth and expansion of services and to ensure that company sales goals and objectives are met.

ESSENTIAL DUTIES AND RESPONSIBILITIES
• Provides requests for event dates and edits to calendar (Fastbook) to department Account Manager or Senior Manager; monitors events for possible conflicts.
• Regularly monitors regional event reports in local media to assist with seeking and targeting new business.
• Assists department manager to generate short and long term sales, book and schedule events with focus on building catering and ancillary product sales.
• Conducts tours of facilities for potential event organizers, answers questions and provides information regarding facilities capabilities.
• Provides suggestions and feedback regarding potential modifications to facilities rates (catering, rent, equipment, services, labor, etc.) as necessary to Senior Facilities Sales Manager.
• Prepares, reviews and edits department proposals and sales agreements and catering orders prior to routing to ensure accuracy; works with Account Managers to learn correct processes. Reports concerns to Senior Manager regularly.
• Works routinely with clients to ensure client satisfaction.
• Monitors all accounts to ensure timely receipt of necessary documentation and payment from clients.
• Routinely attaches all event documentation to Fastbook; routinely adds notes to Fastbook explaining status of assigned events.
• Works routinely with all other departments to provide necessary planning information for events to ensure client satisfaction.
• Under close supervision, creates routine internal and client correspondence.
• Assists Senior Facilities Sales Manager to maintain database of prospective clients and provides weekly status reports on Contact Form Submissions to Senior Manager.
• Ensures that timesheets, vacation and sick request forms are submitted by deadlines determined by Human Resources Department.
• Performs other duties as assigned.

QUALIFICATIONS
• Previous experience in Event Sales highly desirable.
• Attention to detail critical.
• Basic knowledge of Food and Beverage and/or catering sales highly desirable.
• Excellent written, mathematical and verbal communication skills required.
• Excellent computer skills and knowledge of office practices and procedures.
• Must be available to work extended and/or irregular hours including nights, weekends and holidays as necessary.
• Excellent organizational skills.
• Ability to meet flexible, often urgent deadlines.
• Position is not substantially exposed to adverse conditions.

PHYSICAL DEMANDS
Examples:
• Ability to sit and use computer daily for long periods of times.
• Communicate by telephone for up to 30 minutes at a time on a daily basis.
• Hearing sufficient to clearly hear voices, alarms, bells and horns.
• Ability to distinguish color.
• Daily standing for up to 15 minutes at a time operating office equipment such as FAX, printer or photocopier.
• Write using pen/pencil or personal computer keyboard for up to 30 minutes at a time on a daily basis.
• Ability to travel by automobile.

HOURS OF WORK AND TRAVEL REQUIREMENTS
• Monday – Friday, 8AM – 5PM
• Extended/additional hours as needed
• Minimal travel requirements (1-2 times per year)
